Tutorial 13:   Email Folders & Groups (Outlook Express):
 
It is advisable to back up the Address book occasionally:

Open and Maximize the Address Book from Outlook Express;
Click on File / Export and select Address Book (WAB);
Select a suitable folder and file name:
I usually name the backup file by date, e.g. 2008-04-06


Address Book Folders
Having saved a backup copy, go back to the original address book:
Open & Maximize the address book;
In the toolbar click New and select New Folder;
Name the folder and click OK - repeat for other folders;
Drag & drop contacts from the main group into the appropriate folder this will REMOVE them from the original list thus reducing list sizes.


Address Book Groups
In the toolbar click New and select New Group;
Type a suitable Group Name then click 'Enter' ('Return').

'Drag' desired names from email address listings and 'drop' them into the desired group folder.  Note that the email address will still be retained in the original address listing.  Repeat for other groups.  - note that a given address can be saved in two or more mail groups if desired.

To email the Group simply select the group and enter it in the 'To', 'Cc' or 'Bcc' box (see Tutorial 13 below for Cc: and Bcc:).

I often send the mailing 'To' myself and put groups in the Bcc: box;
I then receive a mailing showing how 'others' will receive it.

Note that, if the email is to SEVERAL groups and a given address is in more than one, only ONE copy will be sent to that recipient.


 

Tutorial 14:   Carbon Copy (Cc:) and Blind Carbon Copy (Bcc:)

Enter the main addressee in the 'To:' Box and other addressees in either:

Cc: Recipients will see the sender (From:), and the Cc: addresses

Bcc: Recipients will see the sender (From:), but NOT the Bcc: addresses

When sending a mailing, if there is no visible Bcc: box then:
Click on 'View' and select 'All Headers' - this header will be retained for future mailings.

Bcc: copies are useful to prevent recipients viewing all email addresses
and to reduce SPAM.
